Wellmont Health System – MyWellmont


What is MyWellmont?

MyWellmont is a web-based version of our electronic medical information system. If you choose to obtain MyWellmont access, you will have a secure way to access portions of your medical information, request a prescription renewal, provide information about your health history and family health history, view select laboratory and radiology results, schedule appointments, and communicate with your physician on-line for non-emergency matters. MyWellmont is meant to provide you with a means to access helpful information like those items listed above, as well as allergy, prescription, and immunization records.

What MyWellmont is NOT

MyWellmont is not your actual medical record and it is not a mirror copy of what Wellmont Health System holds in your electronic medical record. Even subject areas that are generally accessible may have limitations. For instance, some lab and radiology results may have to be reviewed by the provider before they go to MyWellmont, some may be delayed for a few days before they are posted to MyWellmont, and some may not go to MyWellmont at all, particularly those that are a little sensitive. MyWellmont is not a link to your provider’s phone, pager, or a means to obtain an immediate answer to a question. If you ask a question through MyWellmont, you may have to wait a few days to get a response. NEVER USE MYWELLMONT FOR EMERGENCY ISSUES OR QUESTIONS!

Who can use MyWellmont?

MyWellmont is for adult patients 18 and over, or emancipated minors, who are patients of Wellmont Health System and/or its affiliates who have available records within the Epic medical record system. Parents or guardians of children ages 1-17 may request proxy access to their child’s MyWellmont record, but for minors between the age of 13-17, MyWellmont functionality will be limited to obtaining immunization and allergy records, providing information about health and family history, and engaging in secure patient message exchanges with physicians regarding care for the minor that does not infringe on the privacy rights that the law gives to them. To request activation of a MyWellmont account you must be 18 or older.

Proxy access is also available for adult users of MyWellmont. For example, an older parent may allow their adult child, or spouse, access to their MyWellmont account.

Do I have to use MyWellmont?

Absolutely not. Signing up for MyWellmont is a voluntary service and has no effect on your treatment or ability to seek care from us. We recommend that you sign up though, because MyWellmont has many features to assist you and your medical team.

Who will see what I send via MyWellmont?

Your MyWellmont e-mail may go directly to your provider or to a pool of nurses or office staff. If your provider is out of the office, your message may be answered by someone who is covering for the provider. Information provided through MyWellmont will also become a part of your patient medical record and will be accessible to current and future Wellmont Health System providers and may be made available to authorized third parties who have requested your record.

Who can see what MyWellmont sends?

You will get an e-mail message when there is new medical information to be viewed on MyWellmont. This means that anyone with access to your e-mail will be able to see the message from MyWellmont. Although no private medical information will be sent via e-mail, you may not want others to know that you even have new medical information available, so think about what e-mail address you want to provide when signing up to obtain MyWellmont access – and remember to keep your e-mail address up to date in your MyWellmont profile.

When should I use MyWellmont secure patient messaging?

It may take 2-3 business days before someone can get back to you. MyWellmont e-mail should never be used for any urgent matter. So if you need an appointment right away or are out of medication and need a refill immediately, do not use MyWellmont. Use good judgement – and do not send information about someone else’s symptoms or problems because that information will then be tied to your medical record.

E-mail etiquette and MyWellmont Access and Termination

MyWellmont access is provided as a convenience to you, but if you abuse the messaging feature or our staff, you can lose your privilege to access MyWellmont. Wellmont Health System may restrict or terminate your access to MyWellmont at any time for any reason. Sometimes, we may need to restrict access to do maintenance or provide upgrades to the MyWellmont system. If that is the case, we will try to let you know in advance and also let you know how long it will be unavailable. If you violate the terms and conditions herein, however, we will terminate your access to MyWellmont.

If you find an error in your MyWellmont pages, please let us know so we can address it. We try to avoid them, but we are only human and appreciate your help.

Privacy and Security

Your privacy is really important to us and we maintain the same degree of confidentiality for medical information stored in MyWellmont that we do for medical information stored in your medical records. We are committed to protecting the confidentiality of your medical information, so we limit our employees’ access and ability to view your information based upon their job duties and need to know such information. Firewalls, passwords, encryption, and audit trails are further used to safeguard your information. We have taken steps to keep all information received electronically as secure as possible against unauthorized access and use.

To ensure the best level of protection for your information, we also recommend that you take certain steps. You may need to upgrade your browser. To view your medical information on MyWellmont, you need to access it with a Secure Sockets Layer (SSL) compatible browser or terminal (Safari, Firefox 10 or Internet Explorer versions 7.0 or greater). Our SSL web server uses authentication and offers the highest level of encryption technology commercially available.

You can tell when you are secure by looking at the location (URL) field. If the URL begins with https:// (instead of http://), the document comes from a secure server. This means your data cannot be read or deciphered by unauthorized individuals. You can tell whether you are truly connected to Wellmont Health System by viewing the digital certificate. This certificate verifies the connection between our server’s public key and the server’s identification.

If you are using a public computer, be sure to close the browser you were using and make sure you are not “saving” your password on the page.

User names and passwords provide two layers of security and are stored in an encrypted database that is isolated from the Internet. As a MyWellmont user, you can help ensure that your medical information stays private by keeping your login ID and password confidential and changing your password on a regular basis. We recommend that you NEVER share your MyWellmont login ID and password. By sharing such information, you bear the risk that your confidential information may become known by any number of persons you would not want to have it. By agreeing to MyWellmont terms and conditions, you agree to bear all liability for any damages or harm that may arise from disclosing your MyWellmont ID and password to anyone else.

How can I deactivate MyWellmont?

Your MyWellmont account can be deactivated by calling MyWellmont Nurse Connection at 866-517-5873. Wellmont Health System also reserves the right to deactivate your account if your use of MyWellmont violates our Terms and Conditions.


I agree not to hold Wellmont Health System and/or its affiliates liable for any loss, injury or claims of any kind resulting from my disclosure of the confidential password or confidential information on MyWellmont. I understand that my activities on MyWellmont may be tracked by computer audit and that the entries I make may become part of the electronic record. I understand that access to MyWellmont is a convenience and that Wellmont Health System and/or its affiliates have the right to deactivate access to MyWellmont at any time for any reason or for no reason without notice to me.

I understand that use of My Wellmont is voluntary and I am not required to use MyWellmont or to authorize a MyWellmont proxy. I understand that MyWellmont may not be available to me all the time due to system failures, back-up procedures, maintenance, or other causes beyond the control of Wellmont Health System and its affiliates. Access is provided on an “as-is, as available” basis and there is no guarantee that I will be able to access MyWellmont at any particular time.

I understand that Wellmont Health System and its affiliates take no responsibility for, and disclaim any and all responsibility for and disclaim any and all liability arising from any software inaccuracies or software defects, communication lines, virtual private network, the internet or my internet service provider (ISP), access system, computer hardware or software, or any other service or device that I use to access MyWellmont.
